Detailed Notes
1. Word Processing
Word processing involves creating, editing, formatting, storing, retrieving and printing text documents. Microsoft Word is used for academic, office and business communication.
2. Interface
The Ribbon contains commands grouped into tabs. The Quick Access Toolbar provides common commands. The document area is where content is created. The ruler controls margins and indents, while the status bar provides document information.
3. Creating and Saving Documents
Create a blank document or template. Save frequently with Ctrl+S. Save As creates a new copy, changes the location, name or format. Use meaningful file names and folders.
4. Editing
Editing includes selecting, inserting, deleting, cutting, copying, pasting, undoing, redoing and Find and Replace.
5. Formatting
Character formatting includes font, size, colour, bold, italic and underline. Paragraph formatting includes alignment, indentation, spacing, bullets and numbering.
6. Page Layout
Page layout includes margins, paper size, portrait/landscape orientation, columns, page breaks, headers, footers and page numbers.
7. Tables
Tables organize information into rows and columns. You can insert, delete, resize, merge and format cells.
8. Graphics
Pictures, shapes and text boxes can improve documents. Text wrapping controls how text flows around objects.
9. Styles and References
Styles provide consistent formatting. Heading styles can generate an automatic table of contents. Long reports benefit from consistent heading levels.
10. Mail Merge
Mail merge combines a main document with a recipient list. Select recipients, insert fields, preview records and finish the merge.
11. Review and Printing
Use spelling tools, comments and Track Changes for review. Before printing, check page breaks, margins, paper, orientation, printer, copies and Print Preview.
